You will also manage incoming calls from customers/guests, create bookings, answer inquiries, handle guest concerns, and provide information to customers.
Responsibilities Front Desk Point of contact for management and property administration:
answering multi-line phone and greeting visitors, information and referral, and taking messages as needed Provide administrative support for Operations Manager and General Manager Coordinate and schedule vendors and/or deliveries Contact Resort Manager and/or staff as needed with questions and appropriately handling and communicating needs and actions Alternate phone coverage for reception - ensure that calls are answered professionally and uses discretion when taking and distributing messages Maintain office equipment in excellent working order, repairing basic problems (i.
e.
, paper jams, changing toner), and calling service vendors for repairs as needed.
Equipment includes photocopier, scanner, phone and fax, postage and voice mail machines Assist in planning and coordinating meetings (reserve room, set agenda, organize speakers, arrange for foods/drinks) Assist in scheduling and preparing materials for regularly scheduled staff meetings Ensure professional appearance of common areas, including reception, photocopier, conference room, supply rooms and kitchen areas Restock all program rooms with adequate kitchen supplies or guest gift baskets Survey facility for property conditions requiring attention and follow-up Responsible for mail and packages, etc.
Opens and routes incoming mail, flyers and announcements; distributes correspondence and other material to department staff/faculty Ad hoc projects as needed (i.
e.
, supply inventory, storing and retrieving luggage, etc.
) Guest Services Manage calls and respond to emails in a timely manner Handle inbound reservation calls Engage previous guests to book future reservations Use proper telephone etiquette Create quotes, process reservations and complete all relevant stages of bookings Capture new customer information into system Update existing customer information Route calls to appropriate individual/department when necessary Document all call information according to standard operation procedures Identify and escalate priority issues Submit reports if and when necessary Willingly assists with other assigned tasks Requirements High school diploma or equivalent At least two (2) years of experience in customer service Strong phone and verbal communication skills along with active listening Proficient in relevant computer applications Customer service oriented and adaptability to different personality types Must be a team player Sales experience, preferred Records maintenance experience, preferred Experience with Property Management, preferred Working Conditions Fast paced office work environment Position requires constant sitting and ability to talk, hear and have vision abilities including close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus The employee must be able to lift or carry 10 pounds and occasionally lift or carry up to 20 pounds.
