The Office Manager is responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, office staff supervision, and task delegation.
The successful office manager is an energetic professional who doesn't mind wearing multiple hats.
Experienced in handling a wide range of administrative duties and executive support-related tasks and able to work independently with little or no supervision.
Well organized, flexible, and enjoys the administrative challenges of supporting an office of diverse people.
Office Manager Responsibilities General Office Operations Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved, and that clerical functions are properly assigned and monitored Responsible for design, develop, organize, implement, and oversee office standard operating policies and procedures to guide the operation of the office.
(SOP's) Responsible for developing standards and promoting activities that enhance operational procedures Implement procedural and policy changes to improve operational efficiency Allocate tasks and assignments to subordinates and monitor their performance Assign and monitor clerical, administrative, and secretarial responsibilities, and tasks among office staff Coordinate staff activities to ensure maximum efficiency Allocate available resources to enable successful task performance Manage internal staff relations Maintain a safe, secure, and pleasant work environment Analyze and monitor internal processes Responsible for ensuring office financial objectives are met by preparing annual budget for the office, planning the expenditures, analyzing variances, and carrying out necessary corrections that may arise Monitor and maintain office supplies inventory Review and approve office supply acquisitions Point person for maintenance, mailing, shipping, supplies, equipment, bills, and errands Organize and schedule meetings and appointments Coordinate with IT department on all office and business kiosk equipment Perform review and analysis of AOAO/Office projects and keep the management properly informed Design and implement filing systems Ensure filing systems are maintained and current Establish and monitor procedures for record-keeping Ensure security, integrity, and confidentiality of data Manage schedules, calendars, and appointments Manage procedures for protection, retention, disposal, filing, and retrieval of documents.
Coordinate schedules, appointments, and bookings Owner and Guest Services Provide general support to Owners and Guests Provide Owner Services Handle customer inquiries and complaints Manage Owner website and communication Participate actively in the planning and execution of events Office and Operations Management Acting Manager on Duty on weekends, overseeing AOAO operations Responsible for recruiting and selection of staff for the office and organizing/providing orientation and training to new employees Ensure top performance of office staff by providing them adequate supervision, coaching, and guidance Evaluate and manage staff performance Coach, mentor, and discipline office staff Onsite Employee Support Liaison to HR Partner to maintain policies, schedule Safety meetings, and get all HR documentation submitted as necessary for all AOAO staff Assist employees with HR matters Uniform, radio, and other employee supply inventory and management Onsite Financial Management Support Liaison to Managing Agent/Accountant to manage AOAO financial processes.
Manage relationships with vendors and service providers ensuring that all items are invoiced and paid on time.
Assist with purchases as needed for the Office and other departments Office Manager Requirements:
Proven office management, administrative, or assistant experience Knowledge of office management responsibilities, systems, and procedures Excellent time management skills and ability to multitask and prioritize work Attention to detail and problem-solving skills Excellent written and verbal communication skills Strong organizational and planning skills Proficient in Microsoft Office Knowledge of accounting, data, and administrative management practices and procedures Knowledge of clerical practices and procedures Knowledge of human resources management practices and procedures Knowledge of business and management principles Computer skills and knowledge of office software packages Office Manager Key Skills & Proficiencies:
