Job Description Preview Receptionists work on the front end of greeting all customers and owners as they enter the Sales Gallery and handle all back end duties of assigning Sales Executives to tours according to established procedures. They work as the liaison between the sales and marketing teams to make sure the guest experience on a presentation is seamless. Welcome and gift customers and owners upon arrival to their sales presentation. Communicate to Sales and Marketing leaders and associates on a daily basis to make sure the guests experience in seamless. Answer all incoming phone lines professionally and forward messages appropriately to the correct department if it isn't something that you can assist the guest with over the phone. Perform both opening and closing assigned duties in an accurate and professional manner. Prepare all daily tour reports and save them in the appropriate area. Distribute daily report for Sales and Marketing to the leadership team. Receive and coordinate tour appointments from marketing as required, and maintain daily appointment manifest. Monitor tour waves and tour times as needed and report overbooking issues to management in a timely fashion. Ensure that the promised premiums and gifts for guests are distributed according to proper procedures. Ensure all premium logs are being updated and maintained. Prepare copies each period for accounting audits. Ensure proper operation of sales executive rotation per established guidelines. Audit tours booked and reports for accuracy including daily tour manifest, OOPS report, other miscellaneous daily or periodic reports as requested. Prepare all tour premiums for guests on a sales presentations in a manner of how many tours take place the following day. Verify that necessary supplies of premium inventory and operating materials are on hand at all times. Perform opening and closing duties to ensure report get sent to leadership in a timely and accurate manner. Check all reports for accuracy including daily tour manifest, daily sales flash and ensure proper source coding. Ensure sales presentation, lobby and front desk areas are on brand and you are representing in a professional manner at all times. Ensure the kitchen is stocked and maintained with the necessary supplies and materials for guest on a sales presentation. Will be working cross properties at Westin Ka'anapali Ocean Resort Villas, Westin Nanea Villas, and Westin Resort and Spa to run all three galleries based on business needs. Requirements High School diploma or equivalent is required. Minimum one year experience as a front desk agent, PBX operator or similar customer service role is required. Good typing skills, proficiency in the use of computers and ability to operate a ten key adding machine is required. Must have excellent verbal and written communication skills. Strong organizational and math skills are preferred. Fluency in speaking, reading and writing English is required. Bright, friendly and energetic personality is preferred. Ability to work well under pressure as well as handle multiple tasks at the same time is required. Proficiency in carrying out basic established office procedures . This position requires flexibility in work schedules and will include working evenings, weekends, and holidays.
