Job Description
Assist with the arrival and departure process for owners and guests in the spa. Assist as needed with room postings and monetary transactions. Oversee maintenance and cleanliness of spa including welcome area, locker room and treatment rooms. Assist with scheduling treatments. Help oversee the delivery of a sensory experience and renewing environment to all our owners and guests.
25% Responsible for the creating protocols, MSDS sheets, & treatment trainings:
Create and update treatment protocols
Create and maintain MSDS sheets
Monitor treatment staff licenses
Train new and existing staff in protocols and treatment standards
25% Conduct and maintain monthly inventory to ensure operational needs are met:
Maintain par levels
Process purchase orders
Coordinate the receiving/distribution of the retail and professional products to the proper areas (ie., IC leads, spa associates, etc)
Validate and process invoices
25% Treatment service:
Provide 4 diamond quality services for guests of Spa Helani
Maintain training in all services offered on the brochure that are applicable to the license(s) held.
15% Assist as needed with operations of the spa including, but not limited to:
The arrival and departure process
Posting and financial transactions
Distribution of locker keys and towels
Assistance with equipment
Guest resolution of problems or complaints and ensure all are remedied with a renewing element
Scheduling spa appointments
Retail sales
10% Assist with the IC payroll:
Weekly data input & corrections
Submit payroll for approval bi-weekly
Regular attendance in conformance with the standards, which may be established from time to time, is essential to the successful performance of this position. Employees with irregular attendance will be subject to disciplinary action, up to and including termination of employment.
Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the hotel. In addition, attendance at all scheduled training sessions and meetings is required.
Upon employment, all employees are required to fully comply with Vistana rules and regulations for the safe and effective operation of the hotel's facilities. Employees who violate hotel rules and regulations will be subject to disciplinary action, up to and including termination of employment.
In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the manager based upon the particular requirements of the hotel:
Partner with Food and Beverage to ensure proper offerings / procedures are in place
Conduct tours of The Spa
Follow & Enforce hotel safety standards.
File daily reservations and other correspondence.
Maintain a clean and well-organized workstation.
Provide supervisory guidance to spa associates as needed in the absence of the Spa Manager or Spa Director.
Perform other duties and projects as assigned by Manager.
The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of knowledge, skills, and abilities:
Must be able to speak, read, write and understand the primary language(s) used in the workplace.
Must be able to read and write to facilitate the communication process.
Requires good communication skills, both verbal and written.
Must possess basic computational ability.
Must possess intermediate computer skills ? including MS Office and database software & POS system
Ability to comprehend, input and retrieve guest information using the hotel based computer program.
Possess above average level of accuracy and neatness.
Maintain positive communication and relationships with all hotel departments.
Physical Demands
Most work tasks are performed indoors. Temperature is moderate and controlled by hotel environmental systems.
Must be able to sit or stand for up to 5 hrs at a time. Length of time of these tasks may vary from day to day and task to task.
Must be able to operate all Spa and Health Club related equipment.
Must be able to lift up to 25 lbs. on a regular and continuing basis.
Must be able to push and pull carts and equipment weighing up to 250 lbs. occasionally.
Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening and hearing ability and visual acuity.
Talking and hearing occur continuously in the process of communicating with guests and fellow associates.
Vision occurs continuously with the most common visual functions being those of near vision and depth perception.
Requires manual dexterity to use and operate all necessary equipment.
Must have finger dexterity to be able to operate office equipment such as computers, printers, 10-key adding machine, multi-line touch tone phone, filing cabinets, FAX machines, photocopiers, dolly and other office equipment as needed.
High school or equivalent education required. Bachelor's degree preferred.
Prior experience in the Spa or Hospitality field required.
Strong computer skills ? MS Office and database. Book4Time & galaxy knowledge preferred.
Project Leadership and administrative experience ? strong organization skills required
Ability to be creative, build relationships and communicate effectively required.
Licenses or Certificates
A license to practice Massage in the state of Hawaii must be maintained. An Esthetics license in the state of Hawaii is a plus. Any government other required licenses, certificates or permits.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
